Privacy policy

BillingPoint (“we”, “us”) is GST billing, inventory and accounting software for Indian businesses, available at billingpoint.in and as the BillingPoint mobile app. This policy explains what information we collect, why, who we share it with and the choices you have.

Who this policy covers

Our users are the businesses that sign up and the staff they add. Their customers and suppliers are people whose details a business enters into BillingPoint (for example on an invoice). For that business data, the business decides what to record and why; we store and process it on their behalf to provide the service.

Information we collect

  • Account details: name, email address, mobile number and password (stored only as a secure hash), your role, and the businesses you belong to.
  • Business details: business name, GSTIN, PAN, address, logo, bank and UPI details you choose to print on invoices.
  • Business records you create: invoices, quotations, payments, customers, suppliers, items and stock, purchases, expenses, staff and payroll, and reports made from them.
  • Photos and text you choose to scan: when you use bill scanning, receipt scanning or “Paste order”, the photo or text you provide is processed to read the details.
  • Device information for notifications: if you allow notifications in the mobile app, a push token for your device so we can send you alerts.
  • Usage and security logs: sign-ins, important changes (an audit trail for your business), IP address and basic technical information, used to keep the service secure and working.
  • Payments: when you or your customers pay online, the payment is handled by our payment partner. We receive the payment status and reference, not card or bank login details.

Permissions in the mobile app

  • Camera: only when you choose to scan a barcode or photograph a bill, receipt or order slip.
  • Photos: only when you choose a picture to scan or upload as your logo.
  • Notifications: for new online orders, payments received, a morning summary of dues and low stock, and plan reminders. You can switch each one off in the app.

We do not access your contacts, location, microphone recordings or files other than the ones you pick.

How we use information

  • To provide BillingPoint: create and share invoices, track payments and stock, prepare GST returns and reports.
  • To send emails and notifications you ask for (invoices to your customers, payment reminders, password resets, alerts).
  • To process subscription payments and keep your account active.
  • To keep the service secure, prevent misuse and fix problems.
  • To answer support requests.

We do not sell personal information, and we do not use your business records for advertising.

Service providers we share with

We share information only with providers that help us run the service, and only what they need:

  • Microsoft Azure: hosting of our servers and database in India.
  • Razorpay: online payments for invoices and subscriptions, and transfers to your business's bank account.
  • Brevo: sending emails.
  • Google Firebase Cloud Messaging: delivering push notifications to the mobile app.
  • Google Analytics: counting visits to our website and app and which pages are used, with cookies and basic device and browser information, so we can see what works and improve it. It does not receive your business records, and it is not used on payment or shared links. You can block it with your browser’s privacy settings or Google’s opt-out add-on.
  • Anthropic: reading the photos and text you choose to scan (bill, receipt and order reading). It is used only when you start a scan.
  • GST suppliers (GSPs): only if your business sets up e-invoicing or e-way bills, to file them with the government portals.

We may also disclose information if required by law or to protect the rights and safety of our users or others.

How long we keep information

We keep your account and business records while your account is active, so your books stay complete. Indian tax law requires businesses to keep accounting records for several years; you can download a full backup at any time from Import & export. When an account is closed, we delete or anonymise its data within 90 days, except where we must keep it longer by law.

Security

Connections are encrypted (HTTPS), passwords are stored as one-way hashes, each business’s data is kept separate from others, and access is limited by user roles. No system is perfectly secure, so please keep your password private.

Your choices and rights

  • See and correct your account and business details in Settings.
  • Download your data (exports and a full backup) from Import & export.
  • Turn notifications off in the app or your phone settings.
  • Ask us to delete your account and data by writing to billingpoint@aradient.com from your registered email.

If you are a customer or supplier of a business that uses BillingPoint, please contact that business first; we will help them with your request.

Children

BillingPoint is a business tool and is not meant for children under 18.

Changes to this policy

If we change this policy, we will update the date above and, for important changes, tell users in the app or by email.
